Acceptance and Preparation

Acceptance

All student enrolments must take place via Trinity’s Acceptance Portal as per attached information and instructions.

To activate a student's enrolment, all payment notification and acceptance documents must be uploaded and student details must be verified via the Trinity Acceptance Portal. For instructions on how to use the Trinity Acceptance Portal, click here.

Trinity Acceptance Portal

Please follow the instructions set out in the student's Letter of Offer under the heading 'HOW TO ACCEPT THIS LETTER OF OFFER', and as outlined below.

  • Upload Trinity's acceptance page, signed and dated. If the student is under the age of 18, their parent or guardian must sign and date the acceptance.

  • Upload the notification of payment and refer to the payment methods on Trinity's website.

  • Refer to the 'Amount Due to Accept Your Offer' on page one of the Letter of Offer.

  • Proof of payment e.g. TT transcript, fully completed credit card form or a copy of the bank draft (please note that personal cheques are not accepted for initial payments). If student is a sponsored student, please upload the Sponsorship Letter.

  • If the OSHC is not required, please omit this from the amount payable and send a copy of proof of student's OSHC.

  • If the student is under 18 years of age, please also do the following:

    1. forward all accommodation documents to tcfs-accommodation@trinity.unimelb.edu.au 

    2. engage the services of ISA Student Advocates.

    ISA will notify Trinity College when they have an agreement with the student.

    All Trinity College students who need a CAAW are required to have care arrangements with ISA.

    The CAAW cannot be issued until both the accommodation and the welfare confirmations are received.

  • If the student's Letter of Offer is conditional upon school results, please send the Early Acceptance Agreement or contact the Admissions Department on foundationstudies@trinity.unimelb.edu.au before the student accepts their offer, so we can advise accordingly.
  • If the student's Letter of Offer is conditional upon an English requirement, and this is the only condition in the Letter of Offer, please send us:
    • The most recent IELTS result, TOFEL, or equivalent OR a CoE from the ELICOS institution in Australia where the student intends to undertake study prior to Trinity in order to meet the English language requirements.

PRISMS and CoEs

PRISMS is the Provider Registrations and International Student Management System, a web-based database that produces and tracks all electronic Confirmation of Enrolment (COE) documents that are produced for international students studying in Australia on a student visa.

PRISMS

  • Agents are expected to create the COE once they have received the student's acceptance page and proof of payment. Trinity College will approve the COE as soon as the student's enrolment has been finalised. If the student is under 18 years of age, welfare arrangements must be approved before the COE and CAAW can be issued. Please ensure the student's personal details are identical to those shown on their passport for verification purposes. If the student is under 18 years of age, please enter the parent details as required. Refer to the Letter of Offer for details and complete all required fields. If there are any fields that you are unsure of, leave these blank and we will complete these upon issuance.
  • All Trinity College representatives should have access to PRISMS. Please refer to your Agency Agreement, 'The Obligations of the Agent No.3 (X)'. Agents who are also formal representatives of the University of Melbourne and wish to create COEs on the University's behalf should contact ia-cricos@unimelb.edu.au or access the university's website.
  • Agents who do not have current access to create COEs must access the PRISMS website. Click on Register (New Access), select Agent and type in the email address for the user (generic email addresses may not be used). Fill in the online form and select a signatory delegate for Trinity College (choose either Christine Findlay or Claire Jung from the list within PRISMS). The user registration request is sent to Trinity College via email. We will then authorise your agency's access and PRISMS will provide instructions on how to log onto PRIMS. You will then have to complete an online training module in PRISMS to gain full access.
  • Authority to create COEs via PRISMS is only granted to individuals. An office may have more than one person registered to use PRISMS and each person registered must adhere to a number of strict conditions. Representatives with the authority to create COEs on behalf of Trinity College via PRISMS will be able to:
    • access PRISMS to find provider information;
    • create a COE for their students;
    • edit, view and print a COE for their student.

Commission

Commissions for TCFS and TCAEP intakes will be paid within 30 days of the relevant commencement intake. During this period, a list of students will be sent to each agent, as applicable for commission. If there are any discrepancies, please contact our Registrations Office prior to payment. 

Please note that Agents are no longer required to send invoices.

Student Visas

Most international students require a student visa to study in Australia. Student visa requirements change occasionally, and you should be aware of the general provisions of Australia's Student Visa Program as set out by the Department of Home Affairs. 

Please note that, as defined in the Migration Act 1958, only registered migration agents and selected persons are permitted to provide migration assistance and advice.

If a student is sponsored, please send the Sponsorship Letter, clearly identifying the sponsor's name and contact details. The Sponsorship Letter must also name the student and detail their scholarship arrangements for the duration of their study at Trinity College and the University of Melbourne.

Student Visa

Orientation

Orientation is held on campus and is specifically designed to introduce students to life in Australia and set them up for success during their study period. Trinity College's orientation program lets students meet our academic team, informs them about our student support services, and gets them familiar with life on campus at Trinity College.

Orientation includes a number of administrative tasks as well as safe and fun group activities that help students get to know each other.

Students will be emailed a Trinity College username and password four weeks prior to each intake. This will give them access to the Trinity College Online Learning Environment (TCOLE), where orientation information will be available two weeks prior to commencement.

TIP: Students should print (or save on their smart phone) a copy of the campus map to help them navigate their way on their first day.

Airport Pickup

The Melbourne Airport (Tullamarine Airport) is located approximately 20 kilometres northwest of Melbourne.

Taxis and coaches are also available from the airport to the city. For information on transportation options to and from the airport, click below.

Transport Options

Homestay Australia and Student Accommodation Services (SAS) will process their airport pickups for Trinity College students staying with homestay hosts. These bookings will be forwarded to the relevant homestay provider for processing.

Please note that the cost of pickups arranged through homestay providers will be different to the fees listed on Airport Pickup form.

Late Arrival

If a student is unable to commence their studies on the course start date, they must contact Trinity College promptly to request permission for a late commencement.

Late commencement is not always approved, and in some cases, students may be required to defer their study to the next appropriate intake.

Welfare and Accommodation Arrangements

Students Under 18

Students under the age of 18 must have their welfare and accommodation arrangements approved by either Trinity College OR the Australian Department of Home Affairs (HA).
